EMAILADDY README FILE (program for the pc type computer) rpsoft_2000 Thank you for acquiring rpsoft_2000's emailaddy program! Basic Help Note that many instructions are available on the program itself under help. If you do find a discrepancy between help file information and this following file, the help file with the program will likely be more up to date for newer emailaddy release versions. LOADING THE PROGRAM The program file will be provided as a single zip file. It would be best to store a copy of the downloaded file in a second place in case a second computer load is needed. If the file name ends in ".exe" then the file is self extracting, and one just needs to run and execute the file. If the original downloaded file ends in ".zip" then one must unzip the file. During the program setup of course it is best as always to exit all other programs and then respond to the questions asked during setup. Answer YES if asked if it is okay to write over Windows temporary files. You will be asked where to store the program in the computer and what group to place the startup icon in. Of course one should remember these locations for starting the program later. Important - if System file changes are needed, the file may prompt and a computer restart may be needed. If this happens or if the program does not load the first time, execute it a second time. A system file update or another program operating in the background can potentially stop a load. In extreme cases, restart your computer before trying the load again afterwards to ensure all others programs are not running. Our apologies for any inconvenience during load. If not changed during load, the program files will be stored under C:\Program Files\(program name). Program start will be under Programs under the start key (computer left bottom) and will be located under rpsoft_2000\(program name). STARTING THE PROGRAM To begin the program, go to the windows start button on the lower left of the computer screen and click it. Put your mouse on "programs" and a list of programs and program file locations will show. Move the mouse rightward and up and down as necessary to find the location where the program startup is stored. This should be the same location as indicated during the program load. If you have not modified the load location, the program should be under the program name or under rpsoft_2000 and then the program name. Click the program icon to start the load. MORE ICONS If you wish an icon on the computer screen for this program startup, locate the program as indicated above and then right mouse click on the program and select "Create Shortcut". After the copy is created, use your mouse to drag (hold down the left mouse button) this startup copy onto your screen with your mouse. Note that once you have an icon startup on the desktop, that you can also if you wish simply drag that icon to the lower left of the computer screen icons for fast program startup later with a single click. Note also, that right clicking on icons also will allow one to rename them, among other things. Selecting the right program If using a screen with settings similar to 1024 x 768 pixels, or more pixels, use the "emailaddy.exe" file. If using a screen set to 800 x 600 pixels or similar, then use "emailaddz.exe". The difference is that the emailaddy.exe files is a larger image but will allow more data to be seen and used at once. Otherwise the two programs should operate identically. If you are using emailaddy.exe then the program startup should work as indicated above. If you need to use the emailaddz.exe file, then you will need to modify your startup icons to find the correct file. Right click on the program file icon or program startup name and click on "properties". Under "target" change the one letter in the file name y to a z: emailaddy to emailaddz. That should direct the startup icon to the right file. General Program Usage Caution: When entering data, do not use two $ characters in a row, such as $$ since that will be interpreted as a control character. Please always have multiple backups of your data files saved - preferably under different file names - to help prevent data loss from this or other issues. The emailaddy program can really be used as a general data storage program that can store up to 1000 email addresses. The program does allow for alphabetical sort (and does this often automatically), for multiple email addresses, for the making of groups, and even includes a find routine. Since this program is also a general storage program, it can be used also for storing www addresses, although the other program in the series, membank, does a better job of that. How it works The program does not automatically send data to the right location on your computer. There are too many possible locations for that to happen. The program does send one email address or a grouping of many of email addresses to the computer clipboard after you check the selected email addresses you wish and then press the "get" button on the program. Then one can use their mouse to locate the right text area for the data to be sent by depressing the left button of the mouse in that target area - likely either the "to" or "cc" section of your email program. Then press the shift key plus the insert key at the same time to paste the data to that location. (a few windows programs may use ctrl-V to paste the data rather than shift-insert as described here). Delimiter As noted in the help routines, you must set the delimiter to the right one used for your email program. Edit it directly. The delimiter is what is used to connect multiple email addresses together for your email program to properly understand them. Observe your email program to determine which one is used. AOL and many email programs tend to use a comma "," between addresses, so a comma would be the delimiter. Microsoft Outlook, however, seems to desire a semicolon ";" between addresses, although some newer versions of Microsoft Outlook now sem to accept commas "," as well. Again, just edit the delimiter directly to what you need. Up / Down repeat Note that after pressing the up down button to see more selections and that that button is highlighted, that use of the return key will cause the up or down function to repeat. Program Value Some of us have multiple email programs, spreading our email addresses in multiple locations. Sometimes those address books can be hard to find or can get lost. Sometimes our address book can be lost if we leave work, and the company wishes it to stay behind in their company computer. Also in some cases, data from the address books are not easy to view or work with in case one must transfer to a new format. This program allows storage of email addresses in one location. It also allows backing up that file data by storing it in any location you wish. Up to 1000 email addresses per file - and one can have multiple files. To be sure, this program does send the email addresses to the computer clipboard and one must use "shift" plus the "insert" key at the same time to paste the result in the right location of the right window. However, for some of us, having all of the data secure and in the same place is more than worth that. Since data is sent to the clipboard, the program is also universal and can also store www addresses for pasting into your browser, or often used phrases for usage in word processing, or other memory storage /recall applications. This program uses a simple text file for storage. Unlike other programs that seem protective of your email address data, the data used here can be easily viewed in any text editor for usage in a new program later. The program keeps the file format simple. Note that it does used two dollar signs in a row as: "$$" for control characters, and that the "@" symbol for emails is also replaced by a control character in order to make it more difficult for use by computer viruses. Files Multiple email address books can be created and stored under different names or in different computer file locations that you decide. These files should end in the simple ".txt" ending however. The primary email file, however, should be titled "emailaddy.txt" and be in the same file as the main program. This is the file that will be automatically loaded at startup. After startup if you wish to load a different email file, then you can do so using the load function under the file pull down menu at the top left of the program. A sample email file is loaded the first time you begin the program. The email addresses are of course made up. The idea is to show the format. The sample program also demonstrates the usage of the addresses on the left, and how they can share a common ending. If one changes the red title on the left side to a title beginning with "@" then that address will be attached to all of the left email addresses. To create your own email address file, you can either write over the email addresses one at a time, or use the delete function (check the items you wish to delete and then select the delete function under edit). If using delete, note that the edit pull down menu does also include functions that can check all data for you. If you begin your email data, but wish to again view the sample, it should be included with your software. It will be the data file called "sample.txt". Alphabetical Sort Note that for alphabetical sort, that capital letters have priority over lower case letters. Sort is therefore "case sensitive". This can be used as a feature if one uses capital starting letters for high priority items and small case letters for items to be in the back. Safety Making these data files can take time the first time the data is entered. Please be sure to save the data at times, perhaps even under different files names or in different file areas while making the file. This technique can help prevent loss. Of course, once the file is together and you have extra safety backups of it, then it is easier to just update it going forward. Storing more information There of course are two areas of data in the program. One on the left and on the right. In each of these areas there is a small check box to the left, then a name area, and then an email address area which will be then on the right. If you desire more information other than just the persons name, such as telephone number or address or other, you must use the name area. The name area is not sent to the clipboard, and so, it is the area that can be freely added to. One technique or style is to put added information a number of spaces after the name such that it does not show, unless you put your mouse cursor there and look for it by moving rightwards. Storing added information and phone numbers can be handy. Setting up an Address book using the clipboard One of course can also set up the address book using the computer clipboard and email and name information that you current have. Save one item at a time by highlighting the item and use "Ctrl-insert" to save it to the computer clipboard (note some programs use "Ctrl-c" instead). From there you can paste it into the email address program one item at time by putting the mouse in the correct area and using "shift-insert" to copy it from the clipboard. (for the above option, ensure that the option "Single Name to Clipboard" under "Edit" in the above pull down menu is not active - meaning that there is no check sign in front of it.
